An event proposal is a basic requirement to conduct an event, and one must not underestimate the power it actually holds that can help you make the event a significant success. Creating an event proposal is one of the first steps in event planning and hosting. As an organizer, you can use the event proposal to pitch ideas to your sponsors, collaborators, and clients. 

Things to Include in an Event Proposal: 

Though it mostly depends on the event and person you are approaching, the event, its objectives, and an event proposal have a few basic things. 

  • The format, date and time, target audience, and the objective of the event. 
  • The reason they should collaborate with you. 
  • Your past events’ data and statistics. 
  • The USP of your brand and event is that helps you make a difference from your competitors. 

Step-By-Step Guide to Write an Event Proposal: 

Now that you know the meaning and components of an event proposal, here, we are sharing with you a full-fledged step-by-step guide to writing an interesting event proposal. 

Introduction: 

On the introduction page, write the name and objective of your online event. Add a cover page to the proposal, along with the web URL of the event page. Not only this, don’t forget to add your contact details as well as your social media profiles. 

Your Event Outline: 

After the introduction page of your event proposal, add the outline of your event in the event proposal. Start by writing the date and time of your event. In case of the event is an online event, add the details of the DIY virtual event platform. Also, it goes without saying that while you choose the online event platform, make sure you pick the best option that is available to you. 

While writing the event proposal, keep the language simple and crisp. Not only this, make it as compelling as you can. Keep it short yet interesting and informative. A few elements this section should contain are:

Your Target Audience: 

Here, give a brief description of the audience you are targeting for your online event. Not only this, add the reason for targeting the particular audience. Also, don’t forget to include the number of people you are expecting to show up at the event. 

Marketing Ideas and Strategies: 

Here, in this section, add the strategies you are going to use to promote your event. Give a clear indication of the plan you will use to attract the maximum audience at your virtual event. You can include ideas like social media marketing, paid media specialists, influencer marketing, and traditional methods of advertising. 

Your USP: 

As you would have understood by now, this section requires you to add your Unique Selling Point. Add what is the thing that helps you stand apart from your competitors and your most loved factor. 

Sponsorship Plans: 

If you have targeted this to your sponsors, including all the elements and things you would want them to know about your virtual event. You can either create a single sponsorship proposal or custom-made proposals for different sponsors. Add things you are offering to them, costs, and benefits they will get from your event. 

Call to Action: 

Now that we are approaching the end of the proposal, add a compelling Call to Action. Write interesting and attractive words, and ask them to get back to you. To encourage them to contact you as soon as possible, you can offer them discounts and other incentives. 

Ending: 

At the end of the proposal, briefly summarize your proposal. Revise your offerings and persuade them to get aboard with you. You can add the benefits they will get if they collaborate with you. Not only this, add your contact information and end the proposal with a positive note. 

Though not many organizers like to believe this, an event proposal can win you your entire event. If you have just stepped into the event industry, we would recommend you build a habit from the beginning to create event proposals. Since not many organizers follow this habit, an event proposal will be enough to impress those you are targeting with the proposal.
